
Board Job Descriptions
ACLP (Arizona Certified Landscape Professional) Committee – The ACLP program provides monthly workshops that cover the foundation components that are considered basic and accepted knowledge for a landscape worker in today’s landscaping industry. Those students who pass the exam in all areas will become certified.
This is accomplished by coordinating with the ALCA office by:
- Recruiting a number of knowledgeable instructors for each of the specific workshops
- Keeping workshop topics current with today’s landscape industry techniques
- Creating a study guide and make available to all students
- Developing CEU program
- Providing articles for ALCA Influence magazine that relates to the workshop topics in order to promote the program
- Coordinating with ALCA staff the certification exams by scheduling, setting up, recruiting volunteers and proctors, scoring and cleanup
Awards Committee – The primary function of the ALCA Awards Committee is assist in the planning and coordination with the CEO of the “Excellence in Landscaping” Awards Program.
- Secure location for the awards ceremony
- Review, revise and edit awards application
- Work with Judging Coordinator to review all landscape project applications and the judging process
- Work with Golf Tournament Coordinator by securing location, solicit sponsors, acquire gifts & raffle prizes, set tournament fees
- Work with Silent Auction Coordinator and the Scholarship Committee by gathering, displaying and overseeing the silent auction event to benefit the ALCA scholarship programs
- Assist in pursuing sponsorship for the awards ceremony
- Determine “Special Award” winners
- Select Master of Ceremonies
- Work with Entertainment Coordinator to assist the production company in determining theme, developing an entertaining program and producing the itinerary
Board Development Committee -
- To prepare priorities for board composition
- To meet with prospective board members and recommend candidates to the board
- To conduct orientation sessions for new board members and to organize training sessions for the entire board, and
- To suggest new, non-board individuals for committee membership.
Finance Committee - The Finance Committee (often called the Budget and Finance Committee) tasks are:
- To review budgets initially prepared by staff, to help develop appropriate procedures for budget preparations
- To report to the board any financial irregularities and opportunities
- To recommend financial guidelines to the board (such as to establish a reserve fund or to obtain a line of credit for a specified amount)
- To work with staff to design financial reports and ensure that reports are accurate and timely
- To oversee short and long-term investments
- To recommend selection of the CPA and work with the CPA on tax returns
- Coordinate with Membership Development Committee to keep membership dues current
Government Affairs / Public Relations Committee – The Government Affairs Committee addresses activity at the state and local levels of government to ensure the laws and regulations by which landscape and lawn care professionals must abide are reasonable and responsible and do not unduly burden their member companies.
This is accomplished by:
- Reviewing legislation to determine impact on the operation of the industry.
- Representing industry’s interests on key legislative issues.
- Tracks current events, legislation and other issues of interest to the industry.
- Collaborate with other entities to work on common legislative goals.
- Provide list of guest speakers/hot topics to address at the monthly mixers.
- Attend meetings/workshops that are in the interests of the industry with strong emphasis on immigration reform
- Convince members to take the time to write a letter to their legislators on issues of importance to the association and industry
- Monitor website content
- Brand ALCA logo and tagline
- Invite local Representatives and Industry Leads to speak at Board Meetings and mixers
Insurance and Safety Committee – The Insurance and Safety Committee shall promote SCF and workplace safety to make the SCF Program available to its members. It is responsible to fulfill the SCF contract requirements to ensure that the Participating Members receive the highest dividend obtainable.
- Safety Committee shall consist of Chief Executive and a minimum of three appointed participating members.
- Complete and submit to SCF an Association Safety Action Plan
- Review program enrollment applications and notify SCF within thirty days of acceptance or rejection of a prospective member into the program
- Monitor the program to ensure that the Association maintains a favorable loss ratio
- Promote workplace safety by offering 2 workshops that address ALCA’s most frequent or severe claims
- Provide safety articles in ALCA Influence magazine
- Provide written documentation to SCF evidencing that the ALCA has successfully completed all of its obligations in the contract
Membership Committee – the tasks are:
To recruit new members to ALCA
Work with PR agency to identify, solicit and follow up with potential members
To promote and achieve awareness of membership benefits to existing members
Committee Chair to select 3 to 5 members to assist with membership recruitment
Develop and maintain informational material which describes the benefits of membership
Communicate with membership using newsletters, web, e-mail or other resources to highlight membership benefits
Develop and implement strategies for welcoming new members including a “new member welcome kit”
Develop and implement strategies for re-instating lapsed members
Specific Duties:
- Contact prospects by mail, e-mail, and phone in person.
- Contact PR agency to request mailing of information material to prospect. Contact will also be made with Committee Chair regarding prospects.
- Personal invitation and involving prospects in events.
- Personal letter welcoming new members will be sent from Membership Chair, and a more informal note, post card, e-mail, phone call to new members from the Board President.
- ALCA CEO will periodically send Membership Chair a list of pending membership renewal or lapsed membership for whatever action would be appropriate to assist in retaining members.
Reporting:
Provide a written monthly report to the Board of Directors providing a summary of the pertinent actions taken on developing new members and retaining existing members.
The Executive Board of the Board of Directors will provide an annual performance evaluation of the Committee. The performance evaluation shall also recommend to the Board any improvements deemed necessary or desirable by the Committee.
Program Committee – Coordinate scheduled program and special events.
- Community Projects – select charitable project and recruit members to volunteer services and products
- Monthly Member Mixers – recruit sponsors, special guest speakers and secure locations
- New Member Recruitment/Mini Trade Show Night – select venue, recruit sponsors and advertise to potential members
- Field Day
- Golf Tournaments
Scholarship Committee – is tasked to administer the ALCA Scholarships.
- Review, revise and edit scholarship application
- Publicize and distribute applications
- Review applications and select award recipients
- Inform recipients of awards and distribute funds
- Assist in coordinating the Silent Auction during the Awards Program which benefits the ALCA Scholarship Funds
